June 4, 2007 update for Chart of Accounts Project
Current Status
A large cross-functional, district-wide team has been meeting weekly since March testing the new GL chart of accounts structure. Through these meetings, a number of technical issues were identified and successfully resolved. At present, no “show-stopping” problems remain outstanding and confidence is high among testing team members for a smooth and successful implementation. Because implementation requires a complete system outage of all Colleague-related services, the team is notifying employees and students a number of ways: · Fliers were distributed to campus student service departments the week of May 21st
· All Lone Star College System web sites, including MyRecords, contain notices of the outage
· Weekly email blasts begin week of June 4th to All Employees reminding them of the outage
· The following district-wide councils have been provided with this update: ARC, CE Council, CESD, Deans Council, PIC, SSC and VPADs
Impacted services include:
· All inquiry, maintenance and reporting in Colleague
· All in-person, online and telephone activities related to: registration, adds/drops, payments, transcript requests, and
· All activities in MyRecords. The following services are NOT impacted: Vista, bookstore transactions, testing center activities.
Next Steps
· Testing team will complete testing the week of June 11th\
· IT will complete all programming changes on or before June 14th
· GO LIVE implementation occurs June 28 - July 5th
Things to Remember
The system outage begins on Thursday, June 28th at 11:30pm and extends through 8:00 am, Thursday, July 5th.
If all goes well, the team hopes to restore services early, but only after changes are thoroughly tested and the system is stable. Users will be phased in gradually, beginning with mission critical registration and payment activities. Please update staff in your area with this information. Although the project team has made every effort to communicate with students and employees about the outage, it relies on district-wide council members to carry the message to the campuses.
