Web and Video Conferencing

Lone Star College's Office of Technology Services (OTS) provides web conferencing (WebEx) and video conferencing, and telepresence tools to allow faculty and staff to connect with anyone, anywhere, in real-time. Employees can save time and money in travel as well as easily collaborate with colleagues using either of these conferencing tools.

Web Conferencing (WebEx)

Cisco WebEx is our interactive tool for conducting on-line meetings with our employees, other agencies and vendors - wherever they may be! All Lone Star College employees have a WebEx account and are encouraged to use it.

Need to host a meeting?

  1. Go to https://lonestar.webex.com and 'login' with your network user name and password.
  2. Once you are logged in, select which 'Center' you need and schedule a meeting.

Video Conferencing

Features

  • Video conferencing rooms can seat large groups, some rooms up to 20 people
  • Face-to-face meetings between any video conferencing or telepresence units throughout the Lone Star College System
  • Video meetings with contacts outside the Lone Star College System (outside contact must be accessible by IP or SIP address)
  • Making phone calls internally or externally from any video conference room without disrupting the video conference
  • Easy scheduling using Outlook

Need to schedule a meeting?

  1. In Outlook, go to Calendar and click the New button in the top left corner.
  2. Click the Scheduling Assistant button to begin scheduling your rooms.
  3. Add the rooms by clicking the Add Rooms button. Another window will appear.
  4. Choose the rooms by highlighting the name and clicking the Rooms button for each room you have selected. Click OK when complete.
    Note: You must choose at least two rooms.
  5. Choose the date and time. Remember, you will have to choose a time when both of your chosen rooms are available.. Click the Send button when finished.
  6. Shortly afterwared, you should receive an E-mail from each room stating that they have accepted your meeting. You will also receive an email from "Unity Directory Services" stating that your meeting is confirmed.

On the day of the meeting - Starting the meeting

These rooms have the camera mounted separately from the screen.

Once the time has arrived for your meeting, and you are in the video conference room and the system is turned on, you should see your meeting displayed on the screen. Use the iPad running the Crestron app to select join.

Telepresence

Features

  • Telepresence rooms typically seat 2-6 people, and are set up to look and feel as though you are sitting directly across the table from those with whom you are meeting
  • Face-to-face meetings between any video conferencing or telepresence units throughout the Lone Star College System
  • Video meetings with contacts outside the Lone Star College System (outside contact must be accessible by IP or SIP address)
  • Making phone calls internally or externally from any telepresence room without disrupting the meeting
  • Easy scheduling using Outlook

Need to schedule a meeting?

Follow the same steps as you would to set up a video conference.

  1. In Outlook, go to Calendar and click the New button in the top left corner.

These rooms have the large screen with the built in camera.

Once the time has arrived for your meeting, and you are in the telepresence room, you will see your meeting listed on the 7975 color IP phone sitting on the desk. If you press on the screen where you see your meeting, this will auto dial and immediately call into the telepresence video conferencing bridge where you can join the other conference rooms.
