1. Advisor Certification Dr. Anthony Harris - SHSU Dept. of Ed Leadership and Counseling presented information regarding Sam Houston's Certification in Academic Advising. NACADA endorses this certification and there are only 2 in the country (Kansas State & SHSU). The certification is completely online and includes 5 courses - 15 hours. You can go to their graduate studies website for more information (also gave handouts). This certification does not require students to complete the GRE. $800 approximate cost per course
Masters degree - The Advising Certificate can lead to Masters Degree in Instructional Leadership with NACADA certification; All of the coursework can be done online; No FA available for just certificate; FA is available for Masters
Doctoral Program in Educational Leadership - ½ online; ½ face to face on Saturdays
Action: Can coordinate a presentation by the System to talk with staff;
They can provide a workshop for faculty and staff as well; Each campus can invite Dr. Anthony to present
Could provide a presentation at conference day
Could look into a Spring Advising conference and include a presentation from SHSU
2. Financial Aid Probation, Suspension Status and Reinstatement - Nadine Jenkins & Ken Feld
Nadine Jenkins requested that we create a way for student services staff to know if a student is on probation or suspension for Financial Aid prior to registering a student.
Action: Provide appropriate training for student services staff members so that they understand the "flags" for FA (GPA, completion rate) Should be taken to the FA council for input.
Request that Jason get the SAP status and post it on the advising profile
Reinstatements and Financial Aid - Ken Feld
Primary Problem:
There is not an official reinstatement policy in our District; this allows students to be treated differently. Students who are reinstated have the ability to continue attending class while those who did not know about reinstatement did not have the chance to continue attending class. Reinstatement is all or nothing - either pay for all classes or none; Need a consequence for repeat offenders; Students cannot receive FA if they have not paid for their classes by the official day of record. However, some students are being reinstated even though they have not paid. This affects their FA status.
Action:
Need to develop a consistent reinstatement policy; Larry Rideaux will pull the policy; Needs to be placed in the catalog and policy manual, etc.
3. Name Change and Website Redesign/CMS Upgrade Projects - Jen Murillo
Jen Murillo gave an overview of web initiatives: 2 major changes:
1. New CMS - ours is Estrada - multiple reasons we need to change
2. Site Redesign - currently have 60,000 pages and only 6,000 are being used
We will do this by:
1. 7 committees - cross campus
2. Using a project management process; user-centric approach (profiles and create personas)
3. Creating 1 centralized site to facilitate online collaboration among team members and allow for updates for all faculty/staff
Action:
Jen Murillo will ask that each campus look at their website to make sure that the content is updated and accurate in April or May 2008 before anything is migrated to the new system; Jen will send a list showing the ownership of pages
SSC will need to approve pages, etc. before they go live; We need to establish a process for this.
Timeline - The target is to have the new site up and running by January 2009
4. Develop operational plan for mini-mester DL students
There is not a process established for DL students to drop mini-mester courses. Some campuses require an instructor or dept's signature and others don't
Action:Create electronic drop slip
Get a contact person at each campus & centers
Take to VPI's in December
Request that DL course syllabi have a link to the electronic drop slip. Students would need to fill it out and send it to the instructor; the instructor sends it to contact person
5. Creating a survey for "total withdrawals"
Jade Borne is working with company to develop survey to send out to students who totally withdrawal for Montgomery College. We will then use the survey for the entire District to gain information on why students withdraw.
6. Academic Integrity Process: referral from CESD - Nadine Jenkins - Deferred
7. Students with 55 SCH - Glen Wood
Glen Wood received an updated list from the Coordinating Board. However, the original data that Jason Kot produced seems to be a better list to work from.
Action: Need to follow-up with campuses to make sure we are following up by contacting these students.
8. STRK Colleague Screen Review/Feedback - Nadine Jenkins
Please review the screen to see if it is a possibility for use as a communication screen (comments) no holds; could be used for comments that not everyone needs to see (Disciplinary comments, etc.)

Update on International Student Audit Report
The 12 Management Action Plan (MAP) was requested under the audit report for international students. IPS has completed all of them except MAP-2- Report out-of-status students in SEVIS within 21 days.
Action: Nithy will be working with IT to assist with MAP 2.
Disability Services - Sandi Patton
Disability Services is hosting a national conference (institute) on March 18 - 20; NHMCCD will become one of only two sites that hosts these regional institutes. They are also working on procedures for dual credit students with disabilities.
Conference title: Expanding Horizons: Institute on Learning Disabilities
Co-host: Landmark College Institute for Research and Training (Putney, Vermont)
March 18 - 20, 2008
1 graduate credit available for folks attending either of the 2 day institutes
Location: NHC for the 2 day institutes; Pre-institute Keynote location is still pending (perhaps The Woodlands Marriott convention center or The Woodlands Conference Center).

Revision to Drop Slip - Nadine Jenkins
The Schedule Change Form has been revised to include 3 columns for "reasons for transactions":
1st column - reasons will not count towards the 6 drop rule
2nd column - reasons will count towards the 6 drop rule
3rd column - goes to Dean and is worked on a case by case basis
Action:
Need to discuss to process for those students who check reasons listed under column #3

Advising Proposal Update - Larry Rideaux
Larry Rideaux presented the Advising Proposal to EC. It was deferred so that the Presidents could discuss the proposal with their Student Development leadership; It will be a standing proposal for discussion at their next meeting
Action:
Need to present the Reorganization Model proposal to EC by March 1 and possibly produce a function chart to submit to the chancellor
